From time to time, Sage Consultancy is approached by international schools to help them assess, select, and implement school administrative and financial management software. This article is the second in a series of software reviews that we will publish during 2025. Future articles will explore other financial management, administrative, and operational software solutions. The purpose of the articles is to help support international schools in making informed technology decisions.

In today’s international school environment, integrated systems are essential for streamlining operations, improving data accuracy, reducing redundancy, and supporting strategic decision-making. Schools are increasingly turning to enterprise-level SIS solutions that unify academic, financial, and operational data into a centralized platform.
One solution that continues to gain momentum among medium to large international schools is Veracross—a proprietary, cloud-based, all-in-one SIS developed specifically for independent and international schools.
A Brief History of Veracross
Founded in 2003, Veracross evolved from Breuer & Co., a pioneer in education-focused technology. The platform was designed to replace siloed systems with a unified school management platform. It is now used by hundreds of schools across more than 30 countries.
Veracross is owned by Veracross, LLC, headquartered in Wakefield, Massachusetts, USA. Veracross was acquired by BV Investment Partners in 2019 through a recapitalization deal.
The company has pursued acquisitions and strategic growth initiatives, including integrating additional companies like Magnus (US), Firefly (UK), and Digistorm (AUS)
The Investment Partners continue to provide strategic and operational support to accelerate Veracross's growth
Core Functions and Modules
(With insights from international school implementations)
Veracross is built on a single-database, fully cloud-based architecture. This SaaS model provides real-time data access, centralized updates, and enterprise-grade security—making it especially suitable for international schools with multiple campuses or diverse user groups.
Key Modules:
HR & Payroll – Supports staff records, contracts, and benefits. However, payroll functionality is limited or non-existent for most non-U.S. schools due to its domestic focus. The onboarding function is also basic, lacking a built-in onboarding portal—many schools must create their own workflows.
Admissions – Manages online applications, enrollment contracts, checklists, and communications. A major strength is the integration with billing and household management. However, “scheduling” is better described as part of broader academic administration, which also includes attendance, timetabling, grade reporting, student logistics, and behavioral tracking.
Finance – Generates tuition invoices, applies discounts and tax rules, and supports reporting. Integration with Admissions is a strength, but international schools face challenges: limited online payment support outside the U.S., minimal multi-currency functionality, and lack of full ERP features such as bank reconciliation or budget planning.
Student Information / Academic Administration – Encompasses timetabling, attendance, grade-books, and student records. This category overlaps with functions listed under Admissions and should be understood as part of a holistic academic admin suite.
Advancement – Manages alumni relations, campaigns, and donations.
Portals – Robust portals for students, parents, faculty, and administrators that support announcements, logistics (e.g., absences), and household data management.
Learning Management – Includes class pages and assignment tracking. With the acquisition of Firefly, this module is evolving, though full integration is still in progress.
Health and Wellness – Basic functionality is included, but more comprehensive features (e.g., immunizations, medication tracking) are accessed via integration with Magnus Health, a third-party platform with single sign-on support.
Understanding the Proprietary Nature of Veracross
As proprietary software, Veracross offers consistency and vendor-managed security but limits schools’ ability to deeply customize the platform or self-manage integrations.
Advantages:
Stability and Security – A unified ecosystem ensures updates are tested and rolled out uniformly. Many schools benefit from strong cross-module consistency and improved budget visibility.
Standardization Across Schools – Hiring staff with Veracross experience can ease transitions due to the platform’s standard architecture.
Support and Training – Veracross University and documentation are valuable for onboarding. More professionals are being trained, which supports a growing global user community.
Considerations:
Customization Limitations – Most custom changes require Veracross approval and development, often subject to customer demand and a voting system. Requests can take years or be declined.
Limited Integrations – Integrations are typically one-way, sending data out rather than receiving it. Bidirectional syncs are rarely supported.
Reporting and Dashboards – Built-in tools are limited. Schools often develop their own data warehouse solutions to meet reporting needs.
Vendor Dependency – All system changes and enhancements must go through Veracross.
Support Delays – While general support is responsive, requests involving engineering can face extended wait times.
International School Perspective
Feedback from international schools highlights context-specific limitations and strengths:
Challenges:
Lack of Multi-Currency Support
Limited Online Payment Gateways (especially outside the U.S.)
Rigid Invoice Approval Workflow
Fixed Asset Module – High cost, limited maintenance, and integrity issues. Many schools opt for external systems.
No Budget Planning Module
No Dedicated Withdrawals Functionality
No Dismissal or Bus Attendance Tracking
Strengths:
Visibility of Budget vs Actuals for budget holders
Strong Integration Between Admissions and Finance, streamlining billing
Household Management and Dynamic Portals for parents and faculty
Global Deployment Challenges:
Support hours misaligned with non-U.S. time zones
Language and cultural training barriers
Internet infrastructure variability
Country-specific financial compliance requirements
Despite these challenges, Veracross is in use at approximately 20% of international schools surveyed—a figure estimated at 25+% for schools with over 1,000 students.
Implementation Insights
Based on SAGE’s implementation support and client observations:
Senior Leadership Commitment is essential. Veracross is not an IT project—it requires engagement from all departments.
Think Long-Term – Consider Veracross a 10+ year commitment in terms of cost, training, and system change.
Don’t Over-Customize – Avoid rebuilding legacy workflows in Veracross. Use native features unless a critical exception is justified.
Train-the-Trainer – Build internal experts across departments to reduce reliance on external support.
Technical Readiness – Train your IT team to work with APIs and build dashboards or data extracts.
Rethink Business Processes – Implementation is an opportunity to streamline workflows. Use tools like GL code segmentation to improve reporting.
Cultural Adaptation – Prepare staff for a shift in how systems look and behave. Change management is vital.

Is Veracross Right for Your School?
Veracross is a solid choice for medium to large international schools that:
Need a unified, education-specific platform
Are prepared for cultural and operational change
Have internal technical capacity
Prefer reliability over deep customization
It may not suit schools that require:
Ongoing custom development
Robust third-party integrations
Advanced financial ERP tools
Out-of-the-box reporting or localized features
Final Thoughts from SAGE Consultancy
Veracross delivers substantial value—when implemented strategically. Schools that approach adoption as a process improvement initiative, not a software switch, report the best outcomes.
Success depends on:
Strategic planning
Strong leadership
Cross-functional training
Willingness to adapt internal processes
For schools prepared to address Veracross’s limitations and complement it with external tools where needed, the platform offers a dependable and forward-looking solution to support the complexities of international school operations.
